Safeguarding Statement

At AU Sports Ltd. safeguarding children is an essential part of the services that we provide. Children are at the heart of a number of the services that we offer and therefore we ensure that our staff receive the appropriate training, such as Safeguarding and First Aid, as well as ensuring that they have an appropriate level of DBS check for the work that they carry out.

 

We cannot safeguard children alone. We work with relevant authorities and schools in order to comply with our safeguarding duties. Our staff and service providers have a duty to safeguard and promote the welfare of children. If a situation of concern arises, our staff liaise with the relevant persons or agencies (for the particular work setting where the concern has arisen) to ensure that a concern is dealt with appropriately and urgently.

 

All safeguarding concerns will be recorded and, if necessary, shared with the relevant safeguarding agencies at the earliest opportunity.

AU Sports Safeguarding Children in Schools Guidance

Purpose

This guidance document provides AU Sports staff and work experience volunteers with clear instructions on safeguarding practices when working with children in school settings. Our top priority is to ensure the safety, wellbeing, and protection of all children. Every member of our team must understand their responsibilities in safeguarding children and creating a positive, respectful environment.

1. Code of Conduct

  • Professional Boundaries

    • Always maintain professional boundaries with children. Avoid overly familiar language, physical contact, or behaviour that could be misinterpreted.

    • Treat all children equally and with respect, ensuring fairness, inclusion, and kindness.

  • Positive Role Modelling

    • Set a good example by demonstrating positive attitudes, appropriate language, and respectful behaviour.

    • Encourage positive behaviour in children and promote a safe, supportive environment.

  • Appropriate Physical Contact

    • Only engage in physical contact when necessary for the activity (e.g., adjusting technique in sports) and ensure it is age-appropriate and consensual.

    • Avoid any physical contact that could be misinterpreted or that makes a child feel uncomfortable.

 

2. Communication with Children

  • Appropriate Language

    • Use age-appropriate, positive language with children, avoiding sarcasm, criticism, or negative language that could impact their self-esteem.

    • Avoid personal discussions that do not relate to the activity or AU Sports programs.

  • Private Communication

    • Do not engage in private or personal communication with children outside of AU Sports activities (e.g., through social media, texting, or messaging apps).

    • Communicate within group settings and keep interactions transparent. If one-on-one discussions are necessary, ensure they are in visible areas or with another staff member present.

       

3. Supervision and Safety

• Supervision Ratios

• Follow AU Sports’ supervision ratios at all times (e.g., 1 coach per 20 children). Additional volunteers or staff should be present for larger groups to ensure safety.

• Avoid situations where you are left alone with a child. Always ensure there is another adult or group of children present.

• Monitoring Environment

• Before starting activities, inspect the area for potential hazards and ensure equipment is safe and appropriate for use.

• Actively monitor children throughout the session to maintain safety and to ensure a positive, respectful atmosphere.

4. Reporting Concerns

  • Recognising Signs of Abuse or Neglect

    • Familiarise yourself with the basic signs of abuse or neglect, such as unexplained injuries, withdrawal, sudden changes in behaviour, or signs of anxiety.

    • Pay attention to any unusual behaviour or comments made by children that could indicate potential safeguarding issues.

  • Reporting Procedures

    • If you have any safeguarding concerns, report them immediately to AU Sports’ Safeguarding Officer. Record detailed notes about the incident, including dates, times, and observations.

    • If the child is at immediate risk, follow emergency protocols and inform the appropriate authorities if necessary.

  • Confidentiality and Data Protection

    • Keep all safeguarding concerns confidential and do not discuss them with unauthorised individuals. All information should be handled securely in line with AU Sports’ data protection policy.

    • Do not attempt to investigate concerns independently; always follow AU Sports’ reporting procedures.

       

5. Conduct for Work Experience Volunteers

  • Role Clarity

    • Work experience volunteers must follow the guidance and instructions provided by AU Sports staff. Ensure you understand your role, tasks, and boundaries when working with children.

    • Volunteers should not lead sessions independently; they must work under the supervision of an AU Sports coach or staff member.

  • Appropriate Interactions

    • Volunteers are required to follow the same code of conduct as AU Sports staff. Maintain a professional distance and avoid personal conversations with children.

    • If you observe any safeguarding concerns, report them to your supervising staff member or AU Sports’ Safeguarding Officer immediately.

       

6. Responding to Disclosures

  • Stay Calm and Listen

    • If a child discloses information about potential abuse or harm, remain calm and listen without interrupting or showing judgment.

    • Reassure the child that they have done the right thing in speaking up and that their safety is your priority.

  • Do Not Investigate

    • Avoid asking detailed or probing questions. Only ask open-ended questions such as, “Is there anything more you’d like to tell me?”

    • Do not promise confidentiality, as you may be required to share the information with the Safeguarding Officer or other relevant authorities.

  • Report Immediately

    • Write down the details of the disclosure immediately, including exact wording if possible, and report it to the Safeguarding Officer.

    • Ensure the report includes your observations, the child’s comments, and any actions you took in response.

       

7. Additional Safeguarding Protocols

  • Use of Technology

    • Avoid taking photos or videos of children without prior consent from both AU Sports and the school. Use only AU Sports-approved devices for any authorised recordings.

    • Ensure that any online sessions follow AU Sports’ guidelines for virtual safeguarding, including maintaining an open and professional atmosphere.

  • Transporting Children

    • Staff and volunteers should not transport children without prior authorisation from AU Sports and the child’s parent/guardian. Always ensure that another adult is present if transport is required.

  • Physical Restraint

    • Only use physical restraint in situations where a child’s immediate safety is at risk, and always follow the least restrictive intervention necessary.

    • Report any incidents where physical restraint was used to the Safeguarding Officer immediately.

AU Sports Complaints Procedure

Purpose

AU Sports is committed to providing high-quality services and maintaining a positive experience for all customers, staff, and partners. We recognise that, on occasion, individuals may wish to raise a complaint. This procedure outlines the steps for reporting and resolving complaints in a fair, prompt, and consistent manner.

 

Policy Statement

1. Fair and Transparent Process:

AU Sports aims to address all complaints promptly and fairly, ensuring that individuals feel heard and respected.

 

2. Confidentiality:

Complaints will be treated confidentially, and information will only be shared with those directly involved in resolving the issue.

 

3. No Reprisal:

Individuals raising a complaint will not face discrimination or reprisal for doing so.

 

Scope of Complaints

 

This procedure applies to complaints from: • Customers (parents, children, or schools) • Staff members or volunteers

 

• External partners or organizations

Complaints may relate to, but are not limited to: • Service quality or delivery

Procedure for Raising Complaints

 

1. Informal Complaint Resolution

 

Step 1: Raise Concerns Informally:

If possible, address the issue directly with the relevant staff member or manager. Many complaints can be resolved quickly through open communication.

 

Step 2: Manager Assistance:

If the complaint is not resolved, contact the relevant program manager or supervisor for assistance.

 

2. Formal Complaint

If the issue is not resolved informally, a formal complaint may be submitted:

Step 2: Acknowledgment:

AU Sports will acknowledge receipt of the complaint within 5 working days, confirming who is handling the complaint and the expected timeline for resolution.

 

Step 3: Investigation:

  • An impartial investigation will be conducted to gather all relevant information.

  • The individual handling the complaint may contact the complainant for additional details or

    clarification.

 

Step 4: Outcome:

  • A written response outlining the findings and actions to be taken will be provided within 10 working days of the complaint being received. If more time is needed, the complainant will be informed.

     

3. Appeals Process

If the complainant is dissatisfied with the outcome:

 

Step 1: Submit an Appeal:

Appeals must be submitted in writing within 5 working days of receiving the outcome, stating the reasons for the appeal.

 

Step 2: Appeal Review:

The appeal will be reviewed by a senior manager or director not involved in the initial investigation.

 

Step 3: Final Decision:

A written response with the final decision will be provided within 10 working days of the appeal being received.

 

Monitoring and Improvement

 

• Complaints will be logged and reviewed regularly to identify trends and areas for improvement.

• AU Sports will use feedback from complaints to enhance the quality of services and address systemic issues where necessary.

  • Management

    • Ensure compliance with all relevant health and safety laws, regulations, and guidelines. • Provide appropriate resources, training, and supervision to support safe practices.

3. Risk Assessment and Hazard Management

  • Conduct regular risk assessments for all facilities, equipment, and activities.

  • Identify potential hazards, assess associated risks, and implement control measures to reduce

    risks.

  • Review and update risk assessments periodically, especially when changes occur within the

    working environment or program offerings.

     

4. Accident and Incident Reporting • Reporting Process

  • All accidents, incidents, and near-misses, regardless of severity, must be reported promptly to management.

  • An Accident Report Form must be completed for each incident, detailing the cause, outcome, and any necessary actions to prevent recurrence.

  • Investigation

  • Management will investigate all accidents and incidents to identify root causes and implement measures to prevent recurrence.

5. Emergency Procedures

  • Emergency Action Plans

    • AU Sports will maintain an Emergency Action Plan that includes procedures for fire, medical emergencies, severe weather, and other potential emergencies.

    • Emergency procedures will be clearly displayed, communicated, and practiced through regular drills.

  • First Aid

    • First aid kits will be readily available and checked regularly.

    • AU Sports will ensure that trained first aiders are present at all locations and activities.

    • In the event of an injury, employees are required to follow established first aid and medical

      assistance protocols.

      6. Training and Communication

  • Employee Training

    • All employees will receive comprehensive health and safety training upon hiring and periodically throughout their employment.

    • Additional training will be provided when significant changes in the work environment or new risks are identified.

Communication

• Health and safety updates will be communicated through meetings, emails, or written notices. • Employees are encouraged to raise any health and safety concerns or suggestions.

 

7. Safe Equipment and Facility Maintenance

  • AU Sports is committed to ensuring that all facilities and equipment are maintained in a safe, operational condition.

  • Regular inspections will be conducted on all equipment and facilities, and any defective equipment will be repaired or replaced promptly.

  • Employees are required to follow all maintenance guidelines when using equipment and report any equipment concerns immediately.

  • Employees are encouraged to seek support when needed, either through AU Sports or external resources.
